Multi-item work orders
A customer brings three firearms and one of them needs to go elsewhere. Each item tracks independently while the work order stays whole — and can be split when it needs to be.
Nine states, not three
Pending, in progress, waiting for parts, blocked, refusal, completed, awaiting pickup, picked up, archived. Enough to describe what is actually happening to a job.
Quote before the work
Agree a number up front and carry it on the record, so the conversation at pickup is about the work rather than the invoice.
Contractor tickets
Work that leaves the building gets its own numbered ticket and its own printed tag, so an item at an outside gunsmith is still an item you can account for.
Photos from a phone
Before and after, categorised and timestamped. Take them on a phone through a handoff link rather than emailing yourself pictures.
Notes that keep their kind
Technical, parts, internal, customer message, call log and more — each attributed to whoever wrote it, and each either internal or visible to the customer.
